However you decide to install newly elected officers, make sure it is done in a ceremony that will make incoming officers proud. Invite someone from the National Executive, the Jamaica Tourist Board (JTB) or the Jamaica Hotel & Tourist Association (JHTA) to be the Installing Officer. The Installing Officer should follow these guidelines:

INSTALLING OFFICER:

Will the outgoing Club Officers please stand? On behalf of the ____ (Name Club) ____I would like to thank you for your excellent work throughout the year. You are now discharged from all further duties and responsibilities as Officers of this Club. You may take your seats.

Now will the newly elected Officers come forward in the following order: Treasurer, Secretary, Public Relations Officer, Vice President and President.

OFFICERS WALK TO THE FRONT AND STAND AS DIRECTED.
INSTALLING OFFICER:

I am here to install the Officers of ____ (Name Club)____ and to prepare them for the challenges that lie ahead. Their collective challenge is to make this a strong club, one that can make a difference in your school, and by extension in our country. Their job is to motivate each member to be the most effective person he/she can be.

______(Treasurer’s Name)_______You have been elected the Treasurer of this club. As Treasurer you are responsible for ensuring that the Club maintains a good financial standing. You will receive and disburse funds in payment of all obligations, maintain the Clubs approved budget, notify members of dues and collect the dues and produce the financial reports for the executive body. The Treasurer should also attend and participate in Executive Meetings. Will you perform these duties to the best of your abilities?

INSTALLING OFFICER:

______ (Secretary’s Name) ____You have been elected the Secretary of the Club. As Secretary you are responsible for all Club records and correspondence. You must keep in safety the Club’s constitution, bye laws and all other official Club documents; you will record and read the minutes of Club meetings; submit timely reports to the County Director and the Jamaica Tourist Board and attend and participate in Executive Meetings. Will you perform these duties to the best of your abilities?

SECRETARY:

Yes, I will.

INSTALLING OFFICER:

____ (P.R.O.’s Name) ____You have been elected the Public Relations Officer for the Club. As Public Relations Officer you are responsible for developing and maintaining a positive image for the Club among all members, guests and the general public; you are responsible for internal and external public relations including publicizing Club activities and events. Membership building falls within this portfolio. The Public Relations Officer must also organize inter-clubbing with other Clubs, as well as other social activities and attend and participate in Executive Meetings. Will you perform these duties to the best of your abilities?

PUBLIC RELATIONS OFFICER:

Yes, I will.

INSTALLING OFFICER:

_____ (Vice-President’s Name)_____ You have been elected Vice President of the Club. As Vice President, you understudy the President and deputize in his/her absence. In addition, the Vice President is responsible for planning successful Club Meetings, particularly the educational aspects of the meeting. You should also collaborate with the P.R.O. to ensure that new members are involved in all activities and you should attend and participate in Executive Meetings. Will you perform these duties to the best of your abilities?

VICE PRESIDENT:

Yes, I will.

INSTALLING OFFICER:

_____ (President’s Name)_____You have been elected the Chief Executive Officer of the Club. You are expected to preside at all Club and Executive Meetings.

It is your challenge to see that this Club enables its members to achieve their goals; to see that your Club helps with the development of Tourism Clubs in the County; and to establish long and short term goals for your Club.

You have been given power and authority by your membership. Use this power and authority wisely and with restraint. You are a member of your team as well as the leader. Remember that a team is more than a collection of people. It is an emotional force rooted in the feelings, thoughts and actions of all members. Work
With your team members to create a healthy, dynamic Club – a Club of which everyone will be proud. Will you, as President, accept this challenge and perform your duties to the best of your abilities?
